How do I build a client onboarding flow in SuiteDash?
Use a Kickoff Form so new clients add themselves to your CRM, then attach an On-Boarding FLOW. That's a set of steps (forms, file uploads, appointments, eSign) the client has to finish before they can use the rest of the portal. FLOWs need the Pinnacle plan.
Steps
- Build the FLOW: go to Onboarding > FLOWs in the main menu, click +Add FLOW and choose On-Boarding as the type.
- Add steps in the order the client should do them, for example intake form, then upload documents, then book a kickoff call, then sign the agreement.
- Build the intake form: go to Forms in the main menu, click +Create Form and make a Kickoff Form.
- Assign the FLOW in the Kickoff Form so every new sign-up gets it. You can also assign it when adding a contact in CRM > Contacts > +Add Contact, or by CSV import.
- Optional approval step: set the form so it doesn't send the Portal Access Invitation right away, then send it after you've reviewed the submission.
- Share the form link, or embed it on your website.
Watch out for
- FLOWs are Pinnacle-plan only.
- You can't change a FLOW's type after you create it.
- A skipped step counts as complete, and its automations still run.
- Automations on the final step don't run. Set them at the FLOW level instead.
- Use the platform's built-in Company field in Kickoff Forms, not a custom field named "Company".
Questions
What SuiteDash plan do I need for FLOWs?
FLOWs are only available on the Pinnacle plan. That covers both types: On-Boarding FLOWs, which new Prospects and Clients must finish before using the platform, and On-Demand FLOWs, which you assign case by case. If you're on a lower plan, you can still use Kickoff Forms to bring new clients into your CRM. Can I review sign-ups before they get portal access?
Yes. Set your Kickoff Form so it doesn't send the Portal Access Invitation right away. New sign-ups still land in your CRM, and you send the invitation yourself after reviewing their submission. That gives you a simple approval step, so you're not giving portal access to anyone who fills out the form. Source: https://help.suitedash.com/article/84-using-kickoff-forms
